IMPORTANT NOTE:
Due to our campus-wide transition to Zoom Phone, all SVSU employees will have a Zoom Meetings Basic account allowing them to meet virtually with others for up to 40 minutes per meeting.
Overview
Zoom is a cloud-based video communication tool that allows users to host or join synchronous online meetings features include screen sharing, webcam, polling, recording, and chat.
At SVSU, there are two types of Zoom accounts, Basic (all employees, required for a Zoom phone and voicemail) and Licensed (Workplace for Education) limited licensing is available for faculty and staff based on need.

Zoom Meetings Basic (included with Zoom Phone)
Zoom Basic is provided for all SVSU staff, it is included with our campus wide transition to Zoom phones. Features include:
- 40 minutes per meeting
- 100 participants per meeting
- Breakout Rooms
- Clips (5 two-minute videos)
- Docs (share up to 10 docs)
- Recording (local to your device)
- Screensharing
- Virtual Backgrounds
- Whiteboard (up to 3 editable boards)
Log into Zoom with Single-On (SSO)
IMPORTANT NOTE: Logging into Zoom allows for Single Sign-On using your SVSU email address. You will need to verify your account using your Multi-factor authentication method. If you are already logged into an SVSU service such as email, Canvas, or mySVSU you will automatically be logged in. Additionally, after you complete SSO for the first time, each login with SSO going forward, will log you in automatically.
There are a few different ways to log into Zoom, see instructions below:
Zoom SVSU Portal Page (web browser)
- Go to https://svsu-edu.zoom.us/
- On our landing page you can join, host, or sign into your account.
- Click Sign in
- The domain svsu-edu is auto filled in for you, click Continue.
- You are automatically logged in if you have already verified your account with MFA.

Zoom App Login
The following steps will work for the Zoom desktop and mobile app.
- Click SSO (key icon) in the bottom-left.

- The domain svsu-edu should be auto filled in for you, click Continue.
- You may need to verify your account with your MFA authentication method. After signing in, you will see the main page on the app you are logging into.
Getting Started with Zoom
All users have Zoom on their university device due to our new campus wide licensing with Zoom Phone. Learn the basic features of Zoom and get started using Zoom on Windows and macOS.
Keeping Zoom Desktop Client Up-to-Date
Zoom recommends to update to the latest version of the app, by checking for updates within the Zoom client or by navigating to zoom.us/download to take advantage of all our latest security and functionality features. Zoom will make an effort to support a given version of software for at least 9-months before it reaches end-of-life.

- Join your Meeting
- Click the up arrow next to video then click Choose Background.
- Select from preset backgrounds or click the icon to add a background.
Zoom WorkPlace for Education (limited paid licensing)
Important Note on Zoom Workplace for Education Account Provisioning: SVSU ITS recommends using
Microsoft Teams to hold department or class meetings, it is our campus wide solution for collaboration and video conferencing that is included with our campus wide Microsoft Licensing which integrates with Microsoft 365 apps.
A Zoom Basic account is included with your SVSU email address and free at no cost to you. A Zoom Workplace for Education account will be granted based on individual faculty or staff needs. Features include everything in Zoom Basic (
screensharing, chat, breakout rooms) and extras:

AI Companion (meeting summaries)
Users with Zoom Workplace licensing automatically have AI Companion. You must create a Zoom cloud recording for AI Companion to summarize meetings you host. The meeting summary will send to all participants after the meeting ends. Using Meeting Summary with AI Companion.
Meeting Templates (custom meeting templates)
Users can now create, save, and choose from custom meeting templates. Note: A Personal Meeting ID cannot be used for meeting templates only automatically generated Meeting IDs can use the meeting templates. Explore how to schedule a meeting with a template.
Threaded Meeting Chat (rich text formatting)
Allows meeting participants to create message threads, this will make it clearer to which message meeting participants are responding to. Features a rich text formatting options. Explore the new meeting chat experience.
Non-verbal feedback (no interruption feedback)
Participants can communicate without interrupting the meeting by clicking (yes, no, slow down, speed up, coffee cup) when selected, they display on the participant's video and in the participant's list until dismissed.

Zoom Workplace for Education - Video Retention
Zoom Cloud Recordings are automatically included for Zoom Workplace for Education accounts, storage is only available for 30 days from when you made your recording. There are various ways that you can use them for long term depending on your role at the university, we recommend:
- Faculty: Zoom cloud recordings automatically copy to your EchoVideo Library (if you have a Zoom Workplace account) allows you to edit content, share with others, and post embed in Canvas.
- Staff: Zoom cloud recordings will delete after 30 days. You will need to download your recording from Zoom.
Academic Use - EchoVideo (echo360)
Zoom Cloud Recordings are only available for 30 days, if you have both an Echo360 and Zoom Education account, your Zoom cloud recordings will automatically be copied into your Echo360 Library (cloud storage for your content).
Non-Academic Use
Zoom Cloud Recordings are only available for 30 days, ITS recommends that you upload your videos to Microsoft Stream for storage and sharing purposes for non-academic use. Microsoft Stream allows you share content the same way you share OneDrive files. Set permissions for what you are allowing viewers to do with your media, within SVSU or outside of SVSU.
Downloading Zoom Cloud Recordings
Videos are stored in the Zoom Cloud for 30 days as we are limited to the space available. If you would like to retain your videos longer than that, you must download your cloud recordings.
- Sign in to the SVSU Zoom web portal.
- In the navigation menu, click Recordings.
You will see a list of your cloud recordings.
- Adjust the date range and status, then search by host, meeting ID, topic, or keyword.
- Choose the cloud recording you want to download, click Share.
- Downloading the Files
- To download all recorded files, select the Download (# files) button.
- Then click the down arrow similar to this .
- The file downloads to your computer and you should find it in your Downloads (Windows) or Finder (Mac) folder.
Zoom Workplace for Education - Change Background
IMPORTANT NOTE:
If you do not have the
Virtual Background tab and you have enabled it on the web portal, sign out of the Zoom Desktop Client and sign in again. You can change your virtual background
before or during a meeting, with and without a green screen. View detailed instructions and FAQs on:

Download an SVSU background then upload it for use in your next virtual meeting.
Change Background in the Zoom desktop
- Sign in to the Zoom desktop client or https://svsu-edu.zoom.us/ ensure to click on SSO.
- Click your profile picture, then click Settings.
- Select Video & Effects
- Select from the virtual background of your choice or click the blue + icon to add an image or video that you want to upload.

Change your background during a meeting
- Click the arrow pointing next to the video icon.
- Click Blur my background then enable your camera.
- Click Adjust background & effects to select a background or click the icon to add a background.
- After you have selected your background or adjust video filters or effects. Turn on your camera.
