IT Asset/CI Management Guidelines

Purpose

This document will outline the process to be followed for tracking the lifecycle of IT assets.  IT assets include end-user devices, classroom technology, servers, networking devices, software and applications.

Assets will be tracked in the Information Technology Service Management (ITSM) solution.

End-user computing devices and end-user application/software (Assets/CI's in process).

Support Center

Classroom, podium A/V, and Distance Ed equipment (Assets/CI's in process).

Infrastructure Services

Servers and Networking equipment (Assets/CI's and Change Control implemented).

  • Servers
  • Network (excluding Wireless Access Points that are managed in AirWave).
  • Departmental Servers - servers on the SVSU network where the installed software is supported by the end user (or vendor).

Enterprise Applications

Software and Applications (Assets/CI's implemented).

  • Business Applications (EA supported)
Web Applications Web Applications and Scripts.

Hosted Applications

ITS will track all "hosted applications" in Team Dynamix IT Assest/CIs so that any Firewall, email, etc. configurations done for these hosted applications can be tracked via a Ticket.  When these types of tickets are created the CI will be linked to the ticket for future reference.

If the CI does not exist as a Business Application, make sure that you create it in TDX.

Note.  There are Reports in Team Dynamix IT Assest/CIs tab for those Assests/CI's that have been "implemented".

Asset Lifecycle

The lifecycle starts with adding the asset to ITSM using the appropriate asset form to capture all required and relevant details.

Asset Import

Assets can be imported into the ITSM using the Asset Import Process. Currently, computer CIs are updated or synchronized with Sassafras Keyserver, the source data for inventory.

Asset Ordered

All purchasing of ITS assets will be recorded is the ITSM system using the purchase request.

Asset Received

When equipment is received, the Asset record will be created / updated in the ITSM system using the appropriate asset form to capture all required and relevant details.

Asset Updates

As the Asset is prepared for delivery/implementation appropriate information will be updated in the ITSM system using the appropriate asset form to capture all required and relevant details.

Asset Move/Add/Change

When an Asset is relocated or repurposed it will be updated in the ITSM system using the appropriate asset form to capture all required and relevant details.

Asset End of Lifecycle

The disposition of Assets that reach their end of life will be updated in the ITSM system using the appropriate asset form to capture all required and relevant details.

Media Removal and Disposal

All media that is being removed or disposed of must be sanitized or destroyed.  If sent off site for destruction a record of "chain of custody" and "proof of destruction" must be provided and recorded in ITSM.
