Host a Lifesize Meeting at SVSU

You can easily call a contact, meeting or room system, invite participants to meetings, record and share meetings, chat and participate in Live Stream events. Meetings can include up to 50 participants. There are two apps you can use to host a Lifesize meeting.  One is the desktop app (requires you to download and install a Lifesize application) and one is the web app (requires you to use Google Chrome). Guests and organizations may also connect to a Lifesize meeting using an in-room conferencing system. Lifesize Guide - Mobile Apps Meeting on the Go - Only recommended for attending meetings, not hosting meetings

Web App

  1. Open Google Chrome and navigate to https://webapp.lifesizecloud.com .
  2. Lifesize prompts you to allow camera, microphone and site media settings when you first log into the Lifesize app using Chrome. Find an explanation at - https://www.lifesize.com/en/app-help/user/settings/camera-audio .
  3. If you need to make changes to the settings or to make sure Chrome has not blocked your camera and microphone, go to the Google help page - https://support.google.com/chrome/answer/2693767?hl=en . Chrome requires that it has permission to use a site’s media, such as for video conferencing.
  4. Log in to Lifesize.
  5. All features work the same in the Web App and the Desktop App.  From here, explore the sections of this guide on how to schedule a meeting, control camera and audio features and more.

Desktop App

  1. Download the App from https://call.lifesizecloud.com/downloads .

  2. Install the Desktop App.
  3. Open and log in to the Lifesize Desktop App.

Schedule a Meeting

Because of licensing restrictions there are a limited number of permanent meetings created each semester.  Permanent meetings are assigned to individuals on an as-needed basis.  If you have not been told that you are assigned to a permanent meeting, you will create a one-time meeting each time you need to host a meeting within Lifesize.

Create a One-Time Meeting (Most Users)

One-time meetings are intended for non-recurring events.  One-time meetings auto-delete 24 hours after the meeting has started.

If you create a meeting, you are the meeting owner. As the owner, you can remove participants during the meeting. You can also edit and delete your meetings. Click the meeting name to open the meeting details card. Click Delete or click Edit to change the name, description, or any advanced options.

  1. Click Meetings in the navigation panel.
  2. Click Create a Meeting from the top right.

  4. Type a UNIQUE meeting name.  Each session must have a unique name, so we suggest including the date on which the session will be held.
  5. Select the name of the moderator. In most cases this will be yourself.  The moderator can remove participants as well as mute and unmute all participants in a meeting. Participants must unmute their microphones to be heard.
  6. Set desired meeting options:
    • Set a numeric passcode to join the meeting: Everyone in your Lifesize account can see your meetings in the Meetings tab, but you can increase security by including a passcode to join. The passcode is automatically included in email and calendar invitations. All participants must enter a 4-10-digit numeric code to join the meeting.
    • Add a meeting description. Enter up to a 200-character description of the meeting.
    • Choose a lecturer: Select the name of the person you wish to assign as a lecturer. If you use this option, participants can see the main speaker but not one another. The lecturer can remove participants.
  7. Click Save.
  8. The Meeting now appears in the list in the Meetings tab. Click on the name of the meeting to select it.
  9. From the panel on the right, click the Copy Calling Details button.  This copies all the meeting information your attendees will need to connect to the clipboard.
  10. Open a new email message, Canvas announcement or other communication tool.  Paste the meeting information into the communication tool.  It will look like this:

Schedule a Session Using a Permanent Meeting (Specified Individuals)

If you received access to a Permanent Meeting, the meeting you will use already exists so there is no need to create a new meeting.  You just need to distribute the meeting information whenever you wish to host a Lifesize meeting.

Start a Meeting

  1. Click on the name of the meeting to select it.
  2. While hovering on the meeting name, click the video camera icon, in that row, to start a call using a webcam.  You can turn the webcam off during the meeting if you choose to do so.  Use the headset icon if you won’t be using a webcam at all.

In-Call Activities

Any user participating in a call or meeting has specific controls available. The controls depend on the type of participant in the call: registered user, guest, or moderator. The controls available to you appear in the control panel at the bottom and the buttons on the right side of the In-Call window.  Click the following link to see the complete list of in-call activities

Manage Recordings

You can view recordings that you own or that have been shared with you. Meeting owners own all recordings of their meetings and can determine viewing permissions for their recordings.

Record a Meeting

  1. After starting a meeting, click the round, start record button to start the recording.
  2. To stop the recording, click the red, stop record button.  If you stop a recording during a meeting, you can hit the record button again, at any time, to begin another recording session.  Individual recordings will be saved each time the start record button is selected.

View Recordings

  1. From the Lifesize app home page, select View Recordings.
  2. You can sort recordings in your feed by date, timeframe, views and likes, and display them in list or grid view. When you choose a recording to view, you can also like or add the recording to your watch list.

Share Recordings

Meeting owners own all recordings of their meetings, regardless of which participant initiates the recording. To set the initial viewing permissions for your recordings:

  1. In the Lifesize app, select View Recordings or navigate to Recordings in the admin console.
  2. Click the name of the recording to be shared.
  3. Click the Share button.
  4. In Share Properties: Meeting Series, choose from the following options:
  • Add or remove viewers
  • Set the recording to No Sharing
  • Get a shareable link for your Lifesize group that provides access to the meeting series

 Call Someone with a Standards-Based Room

  1. From the Home tab, click the video camera icon to start a call using a webcam.
  2. Enter the calling details using any of the following formats to call:
  • IP##extension
  • extension@IP
  • Enter the IP address, and then enter the user’s or meeting’s extension when prompted.

End a Call

  1. Click the down facing phone receiver icon on the bottom right of the meeting.
  2. Choose the preferred option:
  • Leave the meeting without ending the call.
  • End the meeting for everyone.  This also stops and saves the recording if the meeting was being recorded.
  • Cancel and return to the meeting.
